rocket_launch Getting Started

First-time setup (do once)

  1. Settings (on Dashboard) — fill in shop name, address, phone, email, GST number, bank details, and UPI ID. This is required to generate invoices and download Inventory PDF.
  2. Invoice Design (on Dashboard) — choose how printed bills should look.
  3. Change Transactions (on Dashboard) — tick only the types of entries you actually use (Sale, Purchase, Payment In, Payment Out, Expense, etc.).
  4. Inventory — do not add stock directly here at first. Record goods in Purchase — items and quantities will appear in Inventory automatically. You can adjust margin % and sale price on the Inventory page.

A normal working day

  1. Make bills in Sale — stock reduces by itself.
  2. Record goods from suppliers in Purchase — stock increases by itself.
  3. When a customer pays old dues — use Payment In on Dashboard (do not make a new sale bill).
  4. When you pay a supplier — use Payment Out on Dashboard.
  5. Check the summary cards and Recent Activity on Dashboard for today's totals.
  6. At end of day — open Day Book and match cash and bank with what you actually have.
info

You do not need to enter the same sale again in Day Book. When you save a bill in Sale, the app already updates your records and stock.

rocket_launch Shuru Kaise Karein

Pehli baar setup (ek baar karo)

  1. Settings (Dashboard par) — shop ka naam, address, phone, email, GST number, bank details aur UPI ID bharo. Ye invoice banane aur Inventory PDF download karne ke liye zaroori hai.
  2. Invoice Design (Dashboard par) — printed bill ka design choose karo.
  3. Change Transactions (Dashboard par) — sirf woh entry types tick karo jo aap use karte ho (Sale, Purchase, Payment In, Payment Out, Expense, etc.).
  4. Inventory — pehle yahan directly stock mat daalo. Purchase mein maal add karo — items aur quantity Inventory mein apne aap dikhengi. Margin % aur sale price Inventory page par adjust kar sakte ho.

Roz ka normal kaam

  1. Sale mein bill banao — stock apne aap kam ho jayega.
  2. Purchase mein supplier se maal record karo — stock apne aap badh jayega.
  3. Jab customer purana udhaar pay kare — Payment In use karo Dashboard par (naya sale bill mat banao).
  4. Jab aap supplier ko pay karo — Payment Out use karo Dashboard par.
  5. Summary cards aur Recent Activity se aaj ka total dekho.
  6. Din ke end mein — Day Book kholo aur cash/bank ko apne haath ke hisaab se match karo.
info

Wahi sale dubara Day Book mein daalne ki zaroorat nahi hai. Jab aap Sale mein bill save karte ho, app apne aap records aur stock update kar deta hai.

hub How Pages Work Together

When you save a sale bill

The app automatically: reduces stock → records the sale in Day Book → updates the customer's account.

When you save a purchase

The app automatically: increases stock → records the purchase in Day Book → updates the supplier's account.

When you save a sale return

The app automatically: increases stock → records Sale Return in Day Book → reduces the customer's udhaar on their Account.

When you save a purchase return

The app automatically: decreases stock → records Purchase Return in Day Book → reduces what you owe the supplier on their Account.

warning

Do not enter twice. If you already saved a bill in Sale, do not add the same sale again manually in Day Book.

warning

Quick Sale is different from a full bill. Quick Sale only records the cash amount. To reduce stock, use Sale and add items to the bill.

How amounts and colors work

Sale, Purchase, and Expense are for credit only — they record udhaar, not cash movement. When real money moves, use Payment In or Payment Out.

Credit entries (bill / udhaar)

TypeCreditColorMeaning
SaleCredit OUTRedYou gave goods — customer owes you
Sale ReturnCredit INGreenCustomer returned goods — their udhaar goes down
PurchaseCredit INGreenYou got goods — you owe the supplier
Purchase ReturnCredit OUTRedYou returned goods — what you owe supplier goes down
ExpenseCredit INGreenYou got the bill or service (rent, electricity, etc.) — pay later

Cash / bank movement

TypeColorMeaning
Payment InGreenMoney received — cash or bank came in
Payment OutRedMoney paid — cash or bank went out

Sale vs Payment In — do not mix them up

  • Salecredit OUT only (red). Record the bill when the customer takes goods on udhaar.
  • Payment In — when the customer pays money (old dues or today's payment). This is green — real cash or bank. Do not make a new Sale bill for this.

Purchase, Expense vs Payment Out

  • Purchasecredit IN only (green). Goods received, not paid yet.
  • Expensecredit IN only (green). Expense recorded, not paid yet (rent, electricity, etc.).
  • Payment Out — when you pay the supplier or expense. This is red — real cash or bank paid out.

Sale Return vs Purchase Return

  • Sale Return — opposite of Sale. Customer brings goods back → credit IN (green). Stock goes up. Use separate Payment Out if you refund cash.
  • Purchase Return — opposite of Purchase. You send goods back to supplier → credit OUT (red). Stock goes down. Use separate Payment In if supplier refunds cash.
  • Both returns link to the original bill or purchase — History tab → Return icon (↩) in the table opens a separate return page. Each bill/purchase can only be returned once. Use the Return tab to view past returns.

hub Pages Kaise Judte Hain

Jab aap sale bill save karte ho

App apne aap: stock kam karta hai → Day Book mein sale likhta hai → customer ke Account ko update karta hai.

Jab aap purchase save karte ho

App apne aap: stock badhata hai → Day Book mein purchase likhta hai → supplier ke Account ko update karta hai.

Jab aap sale return save karte ho

App apne aap: stock badhata hai → Day Book mein Sale Return likhta hai → customer ka udhaar Account par kam hota hai.

Jab aap purchase return save karte ho

App apne aap: stock kam karta hai → Day Book mein Purchase Return likhta hai → supplier ko dena baaki Account par kam hota hai.

warning

Dubara mat daalo. Agar bill pehle se Sale mein save ho chuki hai, to wahi sale Day Book mein manually dobara mat likho.

warning

Quick Sale alag hai full bill se. Quick Sale sirf cash amount record karta hai. Stock kam karne ke liye Sale page use karo aur bill mein items add karo.

Amount aur color kaise samjhein

Sale, Purchase, aur Expense sirf credit ke liye hain — udhaar record hota hai, cash move nahi hota. Jab asli paisa aaye ya jaye, Payment In / Payment Out use karo.

Credit entries (bill / udhaar)

TypeCreditColorMatlab
SaleCredit OUTRedAapne maal diya — customer aapka udhaari hai
Sale ReturnCredit INGreenCustomer ne maal wapas diya — udhaar kam hua
PurchaseCredit INGreenMaal mila — aap supplier ko dena baaki hai
Purchase ReturnCredit OUTRedAapne maal wapas diya — supplier ko dena baaki kam hua
ExpenseCredit INGreenBill/service mila (rent, bijli, etc.) — baad mein dena hai

Cash / bank movement

TypeColorMatlab
Payment InGreenPaisa mila — cash ya bank andar aaya
Payment OutRedPaisa diya — cash ya bank bahar gaya

Sale vs Payment In — confuse mat karo

  • Sale — sirf credit OUT (red). Jab customer udhaar par maal le, bill record karo.
  • Payment In — jab customer paisa de (purana udhaar ho ya aaj ka). Ye green hai — asli cash/bank. Iske liye naya Sale bill mat banao.

Purchase, Expense vs Payment Out

  • Purchase — sirf credit IN (green). Maal mila, abhi pay nahi kiya.
  • Expense — sirf credit IN (green). Kharcha hua, abhi pay nahi kiya (rent, bijli, etc.).
  • Payment Out — jab supplier ya expense ke liye paisa do. Ye red hai — asli cash/bank gaya.

Sale Return vs Purchase Return

  • Sale Return — Sale ka ulta. Customer maal wapas laye → credit IN (green). Stock badhega. Cash refund ke liye alag Payment Out use karo.
  • Purchase Return — Purchase ka ulta. Supplier ko maal wapas bhejo → credit OUT (red). Stock kam hoga. Supplier se paisa wapas mile to alag Payment In use karo.
  • Dono returns original bill/purchase se link hote hain — History tab → table mein Return icon (↩) se alag return page khulta hai. Ek bill/purchase par sirf ek baar return. Purani returns Return tab par dekho.

help Common Questions

In Sale, make the bill as usual. In Amount Paid, enter less than the total. You will see Due Amount in red — that is what the customer still owes. Save the bill. When they pay later, use Payment In on Dashboard.
Open DashboardPayment In. Choose the customer, enter the amount, pick Cash or Bank, and save. Do not make a new sale bill for this.
There is no separate Opening balance field in the app today. Create the customer (Dashboard → Add Account or first Sale bill), then on the Sale page make one bill: pick the customer, add item line(s) for the total owed, set Payment Mode → Credit and Amount Paid → 0, and save. That bill appears on their Account as udhaar. When they pay later, use Payment In — not a new sale.
Stock only changes when you save a full bill in Sale (with items), or when you save a Purchase or return from the Return pages. Quick Sale, Payment In, and Day Book/Account manual entries do not change stock.
Day Book and Account are for viewing entries and adding payments, expenses, etc. Bills with items must be created on the Sale or Purchase page (stock updates there). Returns use History → Return on those pages. Bills you save there automatically appear in Day Book.
You are trying to sell more than you have in stock. Either add stock in Inventory, or go to Settings and tick "Allow Billing if Item is Out of Stock" if your shop allows selling without stock.
Day Book shows everything on one date — good for checking today's cash. Account shows everything for one customer or supplier — good for checking their dues and history.
First add your UPI ID in Settings. After you save a bill, the bill print screen will show a QR code for the exact amount — customer can scan and pay.
Sale Return: SaleHistory → bill row par Return icon (↩) dabao → Sale Return page khulega → qty adjust karke Save. Stock badhega, udhaar kam (credit IN, green).

Purchase Return: PurchaseHistory → Return icon (↩) → Purchase Return page → Save. Stock kam, supplier dues kam (credit OUT, red). Cash refund alag Payment Out / Payment In se.

help Aam Sawaal

Sale mein bill normal banao. Amount Paid mein total se kam daalo. Due Amount laal mein dikhega — ye woh paisa hai jo customer abhi bhi dena baaki hai. Bill save karo. Jab baad mein pay kare, Dashboard par Payment In use karo.
DashboardPayment In kholo. Customer choose karo, amount daalo, Cash ya Bank select karo, save karo. Iske liye naya sale bill mat banao.
App mein alag Opening balance field nahi hai. Pehle customer banao (Dashboard → Add Account ya pehli Sale bill se), phir Sale page par ek bill: customer choose karo, items/total add karo, Payment Mode → Credit, Amount Paid → 0, save. Ye bill Account par udhaar dikhega. Baad mein paisa mile to Payment In — naya sale bill mat banao.
Stock tabhi change hota hai jab aap Sale mein full bill save karte ho (items ke saath), ya Purchase / Return pages se return save karte ho. Quick Sale, Payment In, aur Day Book/Account ki manual entries se stock change nahi hota.
Day Book aur Account entries dekhne aur payment, expense add karne ke liye hain. Items wale bill ke liye Sale ya Purchase page use karo (stock wahan update hota hai). Returns ke liye un pages par History → Return. Wahan save karoge to Day Book mein apne aap dikhega.
Aap stock se zyada bechne ki koshish kar rahe ho. Ya to Inventory mein stock badhao, ya Settings mein "Allow Billing if Item is Out of Stock" tick karo agar aapki shop bina stock ke bill allow karti hai.
Day Book ek date ka sab kuch dikhata hai — aaj ka cash check karne ke liye achha hai. Account ek customer/supplier ka poora record dikhata hai — unka udhaar aur history dekhne ke liye achha hai.
Pehle Settings mein apna UPI ID add karo. Bill save karne ke baad print screen par exact amount ka QR code dikhega — customer scan karke pay kar sakta hai.
Sale Return: SaleHistory → bill row par Return icon (↩) → Sale Return page → qty adjust karke Save. Stock badhega, udhaar kam (credit IN, green).

Purchase Return: PurchaseHistory → Return icon (↩) → Purchase Return page → Save. Stock kam, supplier dues kam (credit OUT, red). Cash refund alag Payment Out / Payment In se.
